Structure decided once, before anything moves

The question is not where files go but who needs them. Sites organised around teams and functions, with libraries inside them, work because permissions follow the structure rather than being applied folder by folder afterwards.

Migration is the moment to make that decision, and the only cheap moment. Once people have built habits around a structure, changing it is a change-management exercise rather than a configuration task.

OneDrive is not SharePoint, and the distinction matters

OneDrive is personal storage — drafts and individual work. SharePoint is shared. The failure mode is a business where important documents live in individual OneDrive accounts, because when that person leaves the organisation loses access to work it owns.

Making the distinction explicit at rollout, and showing people where shared work belongs, prevents a problem that only becomes visible on somebody's last day.

Retention, sharing and what leaves the building

UAE businesses have record-keeping obligations, and a file system with no retention policy either deletes something it should have kept or keeps everything forever. Both are choices; neither should be accidental.

External sharing needs the same deliberation. Anonymous links that never expire are the default in many tenants, which means a document shared with one supplier two years ago is still reachable by anyone holding that link today.
