The common failure is small and expensive: a meeting begins four minutes late while someone finds a cable, works out which input the display is on, or discovers the room system and the laptop disagree about audio. Across a company that is a significant amount of paid time.

Good design removes the decision. One cable or one wireless connection, a display already on the right input, and audio that routes without configuration. That is a design and commissioning outcome rather than a hardware one, and it is where most rooms are let down.

It also has to match the platform you actually use. A room built for one conferencing system and used with another is a room people avoid.

Hybrid rooms and the people who dial in

Most UAE offices now run meetings with people in the room and people elsewhere — a head office abroad, a colleague in another emirate, a client working remotely. Rooms designed before that assumption place remote participants at a permanent disadvantage.

The fixes are practical. A camera that frames the whole table rather than a wide empty shot, microphone coverage that reaches the far end of the room, and a second screen so remote faces are visible rather than hidden behind a shared document.

It is worth designing for deliberately, because a remote participant who cannot hear one end of the table stops contributing, and nobody in the room notices that they have.

Fit-outs, buildings and approvals

AV work touches the building. Displays need proper fixing and concealed power, ceiling microphones and speakers need coordination with the ceiling contractor, and cable routes need to exist before ceilings close.

As with networking, many commercial buildings and free zone premises require approval for work of this kind, and larger installations in public or retail settings can carry their own requirements around fixing, power and content.

We survey and coordinate with the fit-out programme, because AV added after handover means opening finished ceilings and running visible trunking that nobody wanted.

Signage, auditoriums and larger spaces

Beyond meeting rooms the requirements change. Auditoriums and training spaces need audio designed for the room's acoustics rather than assembled from a specification, and digital signage needs a way to update content that does not involve a laptop and a memory stick.

Signage in particular is bought as screens and lives as a content problem. A display showing a slide from last quarter is worse than a blank wall, so the content workflow — who updates it, from where, how often — belongs in the design conversation rather than after it.
