Ask a UAE employer how they track visa expiries and the answer is usually a spreadsheet. Ask who maintains it and the answer is usually one person. Ask what happens when that person is on leave and the conversation stops.
What has to be tracked
Every employee carries a set of documents with dates: residence visa, Emirates ID, labour card, passport, and frequently a professional licence or certification. Each expires. Each has a consequence attached to missing it.
Missing one is not an administrative slip. Depending on the document it can mean fines, a blocked renewal, an employee unable to travel, or an employee who cannot legally work while the position is corrected.
Why the spreadsheet fails
Not because spreadsheets are bad. Because of three specific failure modes that arrive with growth.
- Single ownership: it works until that person is on leave, and it stops entirely when they resign
- No escalation: a date in a cell does not tell anybody it is approaching, so it depends on somebody looking
- Volume: reading it weekly is realistic at twenty employees and quietly stops at eighty
Each is survivable alone. Together they mean the system works right up until the moment it is genuinely needed, which is the definition of a fragile control.
What good looks like
Dates held against the employee record rather than in a separate file. Escalating reminders at ninety, sixty and thirty days rather than one alert somebody misses. A named owner per renewal, so nobody assumes a colleague is handling it. And the actual documents attached, so they are findable when an authority asks rather than sitting in somebody's mailbox.
None of that is expensive. It is the daily-use feature in a UAE HR system, and it is usually the reason a business finally buys one.
The connection to payroll
Renewals change identifiers, and identifiers feed the WPS salary file. An HR system that does not pass those changes to payroll produces a file that fails validation, so the two problems are the same problem.
